Poster Printing, Framing, and Mounting
- Posters and banners are produced on photo gloss paper on our HP Designjet 5500ps. Banners are $10 per linear foot (i.e. a 6-foot banner = $60). Posters mounted on foam core board (24×36 inches maximum) are $31.40 each.
- Please Note: This service is NOT self help or by appointment and you must submit a Graphic Request Form. Poster printing is reserved for the McCombs School of Business only. If you would like to print your own poster, please contact Copy Services at 512-471-1615.
Publication Layout and Design
- Graphic Services such as brochures, e-newsletter banners, fliers, posters, etc. are formatted in Adobe InDesign CS6, supported by Adobe Photoshop CS6 and Adobe Illustrator CS6. Documents can be saved as PDF files. There is a labor fee of $24.00 per hour for design and layout services.
PowerPoint Presentations
- Custom Microsoft PowerPoint presentations (including McCombs Message Monitor slides) can be produced for a labor fee of $24.00 per hour.
Laser-Engraved Signs
- You may order laser engraved nameplates for $5.00 apiece and directional signs ranging from 10″x14″ ($35.00) up to 18″x23″ ($60.00) by submitting a Graphic Services Request Form.

- Please allow for three working days or more, depending on the complexity of the project.
- It is not wise to wait until the day before your deadline to submit a request, as we take projects on a first-come, first-served basis.

AV Support Office Hours

Locations
- AV Technology Solutions offices are located in GSB 3.132 and in RRH 3.410. They handle checkout and classroom support.
Equipment checkout policy for students
- A student must be enrolled in at least one business course or be in the Graduate School of Business in the current semester to be eligible for equipment checkout.
- Upon pickup of equipment the student is required to present a valid student ID and sign a policy agreement. This agreement is valid until the student discontinues taking any business courses or the end of the fiscal year. It is the responsibility of the student to ask about changes in fees and/or other regulations.
- Some equipment (computer laptops, computer projectors) requires a yearly insurance fee of $5.00 when checked out overnight. This fee has to be paid before equipment may be picked up.
- The student takes full responsibility (see paragraph below) for the equipment and its accessories until it is returned to AV Technology Solutions.
- The student is required to sign a checkout agreement upon pickup. The return time and date on the receipt are binding for the student, failure to return equipment on time will result in an overdue fee.
- There is a limit of two nights and three days per week that any item may be checked out, and the item will be due by 5:00 p.m. on the third day. The weekend policy requires that a checkout can be from Thursday until Monday at 5:00 p.m. or Friday until Tuesday at 5:00 p.m. Upon returning an item after a weekend checkout (Thursday to Monday) you would be eligible for one more night checkout of the new week however one full day must pass before you can reserve or checkout the same type of equipment. (Example: If you return a digital camera on Monday (that you had since Thursday) you would have to wait until Wednesday to check out or make a reservation for another digital camera, for your one remaining night of that week).
Late Fees
- Late fees will be assessed for equipment not returned at the time and date shown on the checkout receipt. Failure to respond promptly to a late equipment notice may result in a loss of privileges. Fees are as follows and are assessed per item:
- Regular Items (cables, tripods, microphones) have a $1 late fee per day
- Laptop Computers have a $3 fee per hour late fee when returning the same day, or $15 per day starting the next business day
- LCD Projectors or panels have a $3 fee per hour late fee when returning the same day, or $15 per day starting the next business day
- Camcorders, Digital cameras, Presentation Remotes, etc. have a $1 fee per hour late fee when returning the same day, or $5 per day starting the next business day
Late Fee Calculation
- Equipment returned 15 minutes after the time specified on an agreement will begin to incur late fees. Equipment that is not returned before closing of due date will start incurring daily late fees.
- If equipment is returned late on three (3) separate occasions in the same semester the student will be barred from further checkout of media equipment for a period of time equal to one full semester. Failure to respond to a late notice within 24 hours may also result in a loss of privileges.
Insurance Fee
- Laptops and computer projectors checked out overnight require a one-time (per academic year) insurance payment of $5. Once the payment has been made it covers all equipment eligible for insurance coverage against loss or theft for the entire academic year ending on the last day of class of the second summer session. A new payment must be made for all eligible checkouts made on or after September 1st.
Damaged Equipment
- Equipment returned defective or malfunctioning will be repaired at no charge to the student if there is no evidence of accidental or deliberate misuse.
- Accidental damage to equipment like dropping, falling, using wrong power supplies or media without the intent to damage the equipment will be repaired by AV Technology Solutions or outside agencies. The costs for these repairs are the responsibility of the customer as follows. There is an assessment charge of $24.00 per hour for every repair. If the equipment can be repaired within 1 hour without spare parts, no additional costs will occur. Any other repair will be billed at an $24.00 per hour rate plus material and parts up to the lower of $424.00 or 40% of the actual repair cost.

Overview and Services
Mission
Our mission is to provide media technology support to the faculty, students, and staff of the College of Business Administration (CBA, GSB, UTC) and the Graduate School of Business (RRH). Our goal is to increase teaching and learning effectiveness through the application of appropriate technology. We strive to introduce new technology as needed to ensure our community has access to the same tools used in the business world.
Customers and Eligibility
Our services are tailored to four distinct customer groups:
- Business Faculty: Receive full service for any class held within the business complex during our office hours. Faculty may check out any available equipment for a determined time, and certain items can be used off campus for short periods.
- McCombs Staff: Can check out equipment for a determined time. Certain equipment is allowed off campus for short periods.
- Business Students: Students currently enrolled in the business school can reserve equipment for classes and check out available items for a determined time. Certain equipment can be used off campus for short periods.
- Other UT Faculty, Staff, and Students: Can reserve a limited supply of equipment for classes held within the business school’s buildings. Items must be returned on the same day after the class session.

Services
Classroom Support
Most classrooms in the McCombs School of Business are equipped with self-service multimedia technology, including computer projection, document cameras, and voice reinforcement systems. A complete list of these rooms and their features is available on the Classroom Technology website.
- Equipment Delivery: We can provide computers and projection equipment for any classroom in the Business Complex for the duration of a class session. All computers come with the standard business school software.
- Software Installation: We can install individual software packages if proof of ownership or licensing is provided. Please allow a minimum of 48 hours lead time. We are not responsible for the loss, damage, or theft of documents or software left on these computers.
- Closed Captioning: Most built-in projection systems can provide closed captioning for the hearing impaired. Please request this service well in advance, as access to rooms can be limited during the semester.
- Equipment Setup: We deliver all equipment for standard setups. For more complex setups, a TA from the class may be required to assist due to time constraints. Training on equipment usage is available by appointment. Contact us at MSB-AVSupport@mccombs.utexas.edu for individual training.
Reservations
Reservations for equipment can be made starting two weeks before the end of the previous semester. We confirm all requests within one business day via email or phone. Submitting a request does not guarantee availability until you receive a confirmation.

In case of equipment failure, we will try to resolve the problem as quickly as possible. We will supply backup or alternate equipment if the problem cannot be resolved. We are not responsible for the consequences of equipment failure. Customers are responsible for having adequate backup procedures in place.
Checkout Support
We offer a variety of equipment for checkout to McCombs and RRH faculty and students. A full list of equipment is available at the GSB, CBA, UTC Checkout Equipment and RRH Checkout Equipment pages. Most items can be checked out for up to three days.
- Eligibility: Checkout is free and available only to business faculty and students enrolled in business courses.
- Laptop Computers: Available for a checkout period of up to 72 hours per week. They can be used for presentations off-campus and in other buildings.
- Portable Projectors: Can be checked out alone or with a laptop for up to 72 hours per week. It is the customer’s responsibility to ensure compatibility and know how to operate the equipment before their presentation.
- Digital Cameras: Available for up to three days for business school-related projects like interviews or events. Accessories like tripods and microphones are also available.
- Microphones & Portable PAs: Can be checked out for up to three days.

Graphic Services
These services are available to business faculty and staff for creating materials such as periodicals, brochures, pamphlets, signs, posters, and more. A nominal charge for time and materials may apply. All orders are handled on a first-come, first-served basis. We adhere to all copyright laws; permission must be obtained for any intellectual property covered by copyright.
Video Services
We operate two video studios in RRH that are available by reservation only to faculty and staff. We also offer limited on-location video recording services.
Special Events
We provide support for special events within the business school complex. A fee will be charged if a technician is required to maintain the equipment during the event or if the event is outside our regular business hours.
- Fee Structure: After-hours and weekend events will be charged for the duration of the event plus a 30-minute setup and strike time. For events extending past 5:15 p.m. Monday through Friday, you will only be charged for the time after 5:15 p.m. plus a 30-minute strike time.
- Consultation: We have professional event specialists on staff who can assist with planning your media needs free of charge during normal business hours. We can also arrange for outside service providers for special requests.
- Recording: Video and audio recording services are available for a nominal charge if the built-in system is insufficient. Reservations are required and subject to availability. Training is provided free of charge for TAs, faculty, and staff.
Office Policies
Customer Service
All customers will be treated with courtesy and respect. Before a customer leaves, we will ensure all questions are answered and requests are met to the best of our abilities. If a request is outside our normal operating parameters, a supervisor will be contacted. In the event of a dispute or complaint, an immediate supervisor will be contacted, followed by the department head if the issue is not resolved.
Classroom Delivery
Classroom deliveries will be on time and completed before the class begins. The setup will not be left until everything is on and working satisfactorily. If equipment fails upon delivery, a technician will be called immediately. If the issue cannot be fixed in five minutes, backup equipment will be delivered. If repair or replacement takes longer than ten minutes, the faculty member must confirm that a replacement is needed.
Service Requests
All services require a completed Request Form. A cost estimate will be provided and must be approved before work begins. Payment is not due until the order is completed to the customer’s satisfaction. The final product will not be released until payment has been received or an account payment arrangement has been signed. All sales require a signed receipt.
